HubSpot review 2026: free CRM, features, pricing and real costs

By Frédéric Cassiede · Published · Official documentation checked on the same date

HubSpot is worth considering when you want your customer records, sales follow-up and marketing work to share the same context. Its free CRM can be a useful starting point, but a low entry price does not tell you which automation, reporting or AI functions your team can use. This review explains the product, the limits that affect everyday work and how to estimate the configuration you actually need.

THE CUSTOMER RECORDOne place for your contextContacts, companies, deals and the next action.
THE WORK TO DOBuy the functions you needMatch the Hub, edition and access to each role.
THE ACTUAL BUDGETCount more than seatsContacts, credits, onboarding and commitment.

What is HubSpot, and what are you actually buying?

HubSpot is a customer platform built around a shared CRM. Its product families cover marketing, sales, service, content, data and revenue operations. The CRM record connects the work; the purchased product and edition determine which tools surround it.

A contact is the person, a company is the organization, and a deal represents an opportunity you are trying to close. Keeping those concepts separate matters: one contact can be involved in more than one opportunity. A list of email subscribers is not, by itself, a complete sales process.

Marketing Hub: attracting and nurturing leads.

Sales Hub: prospecting and managing the sales process.

Service Hub: support and customer-service work.

Content Hub: creating and managing content.

Data Hub: connecting and managing business data.

Revenue Hub: quoting, billing and related revenue work.

Source: HubSpot product overview. These descriptions identify product roles, not a promise that every feature is included in every edition.

Our assessment: the platform becomes compelling when several people need to understand the same customer journey. If a website enquiry turns into a sales opportunity and then a service relationship, keeping that context together can be more useful than adding another isolated tool. If your work does not require that continuity, start with a narrower requirements list.

What can HubSpot help a small business do?

Keep prospects, opportunities and next steps together

The core use case is operational: know who the prospect is, which opportunity they relate to and what should happen next. HubSpot documents contacts, companies, deals, tasks, record timelines and email integrations among its CRM tools.

Source: Official free-tool catalog.

For example, a small consultancy could keep a contact’s request, the associated project opportunity and a follow-up task together. That is a proposed use case, not an implementation we tested. The value comes from avoiding a situation where the inbox says one thing and the opportunity list says another.

Capture an enquiry and respond to it

HubSpot’s form automations can trigger a response after submission. Free tools allow one simple workflow per form with one Send an email action. Marketing Hub Starter allows one simple workflow per form with up to ten actions. Other paid configurations have different limits.

Source: Form automation and edition limits.

This distinction helps you evaluate a real requirement. A confirmation after a consultation request is a simpler task than a branching qualification process. Write down the intended actions before buying on the strength of the word “automation.”

Follow up with sales sequences

Sequences combine timed one-to-one emails and follow-up tasks. The documented tool requires Sales Hub or Service Hub Professional/Enterprise, the relevant Sales or Service seat and permissions. It is different from a form confirmation or a marketing workflow.

Source: Sequence requirements and behavior.

If your main buying requirement is “send a series of sales follow-ups,” make that an explicit acceptance criterion. A Starter quote should not be treated as sufficient merely because it mentions email scheduling or automation elsewhere.

Understand the pipeline with reporting

Custom reports offer more flexibility than a predefined dashboard. HubSpot lists custom reporting across applicable Professional and Enterprise products, with capabilities and report limits depending on the subscription. Its custom report builder can combine data sources.

Sources: Custom report requirements and Custom report builder.

Our suggested test is to name one decision the report must support. “How many opportunities need a next action?” is not the same request as “which campaigns generated the most revenue after several customer interactions?” Ask to see your required report, rather than assuming a dashboard screenshot proves it is included.

Is HubSpot’s free CRM genuinely useful?

Yes, if your requirements fit its scope. HubSpot advertises free CRM functionality for up to two users and 1,000 contacts, with no expiration date. It is a continuing free edition, distinct from a temporary trial of paid features.

Free limits worth checking before building your process
AreaDocumented limit and buying implication
Custom propertiesTen total custom properties. List the business-specific fields you need before committing to a data structure.
PipelinesOne HubSpot-provided pipeline per object type. Verify whether your different processes can reasonably share it.
Marketing email2,000 sends per calendar month, with HubSpot branding. A stored contact is not the same unit as an email send.
MeetingsOne personal meeting link, including HubSpot branding. Check team scheduling needs separately.
Reusable sales contentThree email templates per account. Decide whether a small shared library is enough.

Does HubSpot Free lose your activity history after 30 days?

No: the documented restriction is more specific than deleting all history. For free accounts created on or after February 4, 2025, most activities older than 30 days do not appear on the record timeline or activity cards. Notes, tasks, pinned activities and direct-link access have exceptions. Activity index pages can still show older activities.

Source: Activity timeline visibility and exceptions.

Evaluate the workflow consequence. If someone needs the full email history in the contact’s timeline, having an alternative place to find it may still be inconvenient. Conversely, that inconvenience is not proof that HubSpot erased the underlying activity.

Our recommendation: Free is a reasonable starting point for one or two people validating a simple customer process. Test your fields, follow-up and reporting needs before migrating a complete business database.

When should you choose Free, Starter or Professional?

Free: establish the process

Use Free when you need a basic shared record, a manageable set of fields and simple follow-up. Its purpose in your evaluation is to reveal whether the CRM structure suits your work. Do not add a paid edition to solve a process that nobody has defined yet.

Starter: remove specific operational limits

Consider Starter when you can identify the exact restriction it removes. That might concern branding, capacity or a documented simple automation. Check the Hub and bundle being sold: an edition name is less informative than the functions your proposed configuration includes.

Explore Starter’s monthly offer or compare the annual offer.

Professional: pay for a capability you can name

Professional deserves consideration when a requirement such as sequences, deeper reporting or a more capable workflow is worth the cost. Request a demonstration using your own acceptance criteria. A large feature list does not establish that your team will use it.

For example, an outbound team may value a repeatable sales sequence, while a marketing team may prioritize campaign workflows and attribution. They should not assume that the same Professional product solves both jobs.

Enterprise: evaluate governance and complexity

Treat Enterprise as a requirements-led decision involving permissions, data structure, governance and scale. Ask the supplier to identify which requirement cannot be met by the lower edition and what implementation is necessary. A small company does not need Enterprise simply because it hopes to grow.

How does HubSpot pricing actually work?

Specify the product and edition, the access each person needs, usage capacity and the commitment. These inputs are more reliable than a single “HubSpot costs…” number.

Promotional Starter pricing is not a universal long-term price

The USD Customer Platform page currently displays Starter from $7 per seat/month alongside a $20 reference price. It identifies special pricing for new customers and selected limited-time offers. The applicable billing option and checkout terms need to be checked for your purchase.

Source: Customer Platform pricing, checked October 17, 2026. Prices here are in USD; they are not currency conversions or promises about a local offer.

Core, Sales and View-Only seats are different

Under the standard seats-based catalog, Core access does not replace a specialized Sales seat for full Sales Hub Professional functionality. A Sales seat already includes Core access. View-Only access is available without an additional charge; included credits depend on the purchased products and edition, rather than adding up across every Hub.

Source: Standard seats and credits catalog.

HubSpot’s current seat guide allows View-Only users to add notes to records they can view, but not edit records or log emails. Seats determine tool access; permissions determine actions. Check both when assigning a role.

Do contacts make every HubSpot subscription more expensive?

Do not confuse the free account’s total-contact limit with paid Marketing Hub’s marketing-contact tiers. HubSpot distinguishes contacts designated for marketing from non-marketing contacts. In its standard model, exceeding the purchased marketing-contact tier can trigger an automatic upgrade.

Deleting contacts does not automatically lower that billed tier mid-term. Changing a contact’s status also has an effective date. A configurable maximum helps control additional marketing assignments, but is distinct from the purchased tier.

Check which pricing model applies to your account

HubSpot also publishes a separate flexible seats-and-credits supplement with its own definitions and limits. Its terms apply to customers on that program. Do not combine prices from that model with standard seat or contact calculations.

What could HubSpot cost your business? Four worked examples

These are hypothetical budget illustrations using the standard USD catalog checked October 17, 2026, not quotes. They exclude taxes, discounts, extra marketing contacts, extra credits, third-party tools and implementation services beyond the listed onboarding. A twelve-month calculation illustrates spend; it does not establish the contract available to you.

1. Two people with a simple process

Assumption: both users and all required functions fit Free, including its contact and tool limits.

Illustrative software cost: $0. Your own setup work still matters. Upgrade only after identifying a requirement the free edition cannot meet.

2. Three Starter users

Assumption: three standard Starter Core seats at $20 each, no additional capacity.

$60/month; $720 over twelve months. Compare an eligible promotional offer separately. Make sure the configuration includes the functions that prompted the upgrade.

3. Two sales users and one Core user on Professional

Assumption: two standard Sales Professional seats at $100 each and one additional Core Professional seat at $50. The catalog lists $1,500 required Sales Professional onboarding.

$250/month; $4,500 first-year total including the listed onboarding. Calculation: (2 × $100 + $50) × 12 + $1,500. Do not add a second Core charge to each Sales seat.

4. A Marketing Professional configuration with four Core users

Assumption: the $890 monthly base includes three Core seats; one additional Core seat costs $50. Included marketing-contact capacity is sufficient, and required onboarding is $3,000.

$940/month; $14,280 first-year total including the listed onboarding. Calculation: ($890 + $50) × 12 + $3,000. Additional sales capabilities or usage would change the specification.

Sources: Standard seat pricing and Marketing and Sales product pricing and onboarding. These examples deliberately use one stated model; they should not be applied to flexible, legacy or negotiated contracts.

Does paying monthly mean you can leave next month?

Not necessarily. HubSpot states that paid subscriptions can be downgraded or cancelled at the end of the commitment term. The payment schedule and commitment are different questions. Confirm both on the order form.

Is HubSpot’s AI useful, and what does it cost?

Breeze Assistant and credit-consuming agents are not the same thing

Breeze Assistant is documented across products and plans, with additional subscriptions required for some functions. It can help generate content, summarize records and prepare for meetings, subject to settings, permissions and connected context.

Source: Breeze Assistant requirements and capabilities.

Our assessment is that AI is most useful when it works from a record your team already maintains. Ask whether a summary reflects the latest customer context and whether a proposed action needs correction. Merely generating more text is a weaker reason to buy a CRM.

What happens when HubSpot Credits run out?

HubSpot says usage-based functions normally pause after included credits are exhausted if no additional capacity has been purchased. Extra capacity introduces other billing conditions: auto-upgrade or pay-as-you-go, depending on the settings. For additional packs, its documented default changes at September 16, 2026: purchases before that date default to auto-upgrade; purchases on or after it default to pay-as-you-go.

Unused credits expire rather than rolling over. Set account and feature limits appropriate to your budget. Do not interpret “AI included” as unlimited use of every agent.

Can ChatGPT work with HubSpot?

HubSpot’s official connector documents reading CRM context, creating and updating supported records, and logging activities. Access depends on authorization and permissions. This is distinct from using Breeze inside HubSpot and from managing ChatGPT advertising.

This is relevant to the buying decision, but it is not a replacement for a defined customer process. For a wider comparison of post-call tools, use our guide to AI tools that update CRM records after calls. For advertising, see the separate ChatGPT Ads guide.

HubSpot strengths and limitations

What makes it worth considering

  • Shared customer context. Its appeal increases when marketing, sales and service need to collaborate around the same relationship.
  • A free starting point. A small team can evaluate the record structure and working habits before choosing a paid configuration.
  • Room to expand. Several product families can support a broader process, provided the additional functions justify their cost.
  • Documented buying conditions. Detailed catalogs and help pages make requirements checkable, even though assembling the answer takes work.

Where the tradeoffs become significant

  • Packaging complexity. Similar edition names do not make different Hubs equivalent purchases.
  • Step changes in cost. A specific advanced requirement can move the decision beyond the inexpensive Starter entry point.
  • Operational work. Records, ownership and field definitions still require attention. Buying software does not create a reliable process by itself.
  • Migration effort. The more work you build around a platform, the more carefully a replacement needs to be planned.

Can you take your CRM data elsewhere?

HubSpot documents exporting records and associations, with options controlling what is included. An export of selected records is not automatically a complete copy of reports, automations, integrations and settings.

Source: Record export options.

Before a large migration, choose a sample contact, company and deal with important relationships. Check that your export and destination can reconstruct what your team needs. This is our proposed acceptance check, not a migration test we performed.

Is an EU-hosted account the same as all processing staying in the EU?

No. HubSpot’s hosting FAQ describes exceptions, including some content and subprocessor processing outside the hosting location. Confirm the applicable hosting and data terms for your configuration rather than treating the account region as a complete answer.

Who should use HubSpot, and who should consider another tool?

Our assessment by business need
Your situationHow we would approach the decision
Independent consultantEvaluate Free against fields, next actions and access needs. Avoid paying for a broad stack before defining the process.
Small sales teamSpecify the required follow-up and reporting. Check the actual seats and edition needed for sequences or other advanced functions.
Marketing-led businessEvaluate the value of carrying enquiry and campaign context into the sales process; budget the relevant contact tier and automation.
Newsletter-first creatorStart by comparing newsletter tools if publishing is the main job. A broad CRM needs a separate justification.
AgencyCheck client separation, access and delivery requirements. Do not assume one configuration or licence covers every client workflow.

If newsletter publishing is your priority, our Beehiiv review evaluates that product. For an agency-oriented platform, read our HighLevel review. For landing pages, use our Leadpages review. These are different purchasing tasks; this page does not attempt a full comparison of every alternative.

Our final verdict: HubSpot deserves a place on the shortlist when a shared customer process is the requirement. Free can validate the foundation, Starter can address defined limitations, and a higher edition can be justified by specific work. Choose the smallest configuration that meets your acceptance criteria, with a clear account of what the next upgrade would buy.

Additional questions before buying HubSpot

Does upgrading remove the need to maintain CRM data?

No software purchase removes the need to agree who owns a record, what a stage means and which information must be checked. Define those responsibilities before judging an automation’s output.

What should you ask for in a demo?

Bring a short scenario: an enquiry arrives, a person qualifies it, an opportunity changes stage and someone reviews the result. Ask the demonstrator to identify the product, edition, seat and any usage charge behind each step. Keep that specification with the quote.

Should the whole team receive the same licence?

Build a role list first. Someone who reviews results has a different requirement from someone running sales outreach. Check seat entitlements and permissions against the work each person must perform, rather than assigning licences from job titles alone.

How should you decide whether an upgrade is worth it?

Name the recurring problem, the capability that resolves it and the result you will inspect. Compare the added annual cost with your own expected use. Vendor-wide productivity statistics do not establish the return for your business.

Review method and source scope

This is a document-based product evaluation using HubSpot’s official product, pricing and help material checked October 17, 2026. We have not conducted a hands-on benchmark, measured deliverability or verified customer productivity claims. The budget calculations and decision scenarios are our own illustrations, with their assumptions stated.

Sources are linked next to the facts they support. Promotions, legacy subscriptions and flexible pricing can differ from the standard catalog. Check your quoted configuration before purchasing. The review’s purpose is to help choose the product and edition; detailed integration setup, advertising instructions and comparisons of post-call tools have separate scopes.
