HubSpot vs HighLevel: Which Fits Your Sales Team or Agency?

By Frédéric Cassiede · Published · Official documentation checked on this date

HubSpot and HighLevel can both enter a CRM shortlist. The harder decision is what you are buying: a system for your own sales team, access to systems your clients own, or a platform you provide to several clients. Compare that operating model first, then the required workflow, access rules and bill.

Which difference actually changes the HubSpot vs HighLevel decision?

Account structure, required actions and purchasing units are more useful than a feature-count contest. Treat the following as decision checkpoints. The suggested directions are our editorial judgments, not performance scores.

Are you buying for your own company, your clients or a group of businesses?

An agency’s access to client accounts is a different purchase question from linking several businesses’ CRM accounts. Mixing them can make both the recommendation and the budget misleading.

One company: define the shared record and the people using it

For an internal sales team, start with who owns contacts and deals, what marketing information must be visible, and which people need to act. Our suggested HubSpot-first scenario is a company evaluating a connected sales and marketing setup with defined reporting requirements. Our suggested HighLevel-first scenario is a service business evaluating booking and communication processes within a combined operating setup.

These starting points are not exclusive product capabilities. Neither “all-in-one” nor “CRM-first” establishes that your particular workflow is included or configured.

Client-owned HubSpot accounts: examine partner access separately

HubSpot documents a Partner Client Access Manager through which Partner Admins can manage employee permissions in client accounts. Eligible partner employees can have Partner Seats. This is an access arrangement subject to eligibility and permissions; it is not evidence that your affiliate membership grants access to client accounts or that client subscriptions are included.

Connected businesses: HubSpot has a separate multi-account feature

HubSpot’s documented multi-account organization requires an Enterprise main account and separate Professional or Enterprise connected accounts. Its cross-account reporting also has hosting-location conditions. These are meaningful requirements when connected data or reporting across businesses is essential. They should not be applied automatically to an agency that merely needs to work inside separate client accounts.

Client subaccounts: distinguish delivery from resale

HighLevel offers client subaccounts within its agency structure. Supplying a client workspace, allowing an employee into selected workspaces, and selling software through SaaS Mode are separate requirements. Establish which one describes your offer before picking a plan.

The question to settle before comparing quotes

“Does each client subscribe to and own its CRM separately, or does our agency provide access inside a platform we pay for?” Record who controls billing, administrator access and the client handover. The two quotes must describe the same arrangement, or explain their differences.

Can both platforms execute the same enquiry-to-sale workflow?

Compare the observable outcome at each step, then verify the edition and setting behind it. Our example is a service enquiry assigned to a salesperson, followed by a booking or quote, a follow-up and a report on the outcome. It is a proposed comparison scenario, not a workflow we have tested in either account.

A sequence and a workflow are not interchangeable entitlements

HubSpot’s sequences require Sales Hub or Service Hub Professional or Enterprise and an assigned Sales or Service seat. Do not substitute the cheapest CRM subscription when pricing this requirement. For HighLevel, check the actual workflow actions and channel usage; some premium triggers and actions incur execution charges.

“Stop after a reply” needs a defined scope

HubSpot allows configured sequence unenrollment after a reply or meeting booking. HighLevel’s Stop on Response documentation states that the setting applies to automated actions within that specific workflow; manual communications and communications from other workflows do not affect it. That is a reason to test the intended journey, not a blanket verdict that one platform cannot handle replies.

Keep implementation separate from selection. For HubSpot website lead capture, use our external website forms guide. This comparison evaluates whether the intended journey is supported in the proposed configuration.

Can the right people work without seeing the wrong records?

Both the purchased access and the configured permissions matter. A user count alone does not establish which people can perform which actions.

In HubSpot, a seat type and user permissions are separate controls. Changing a seat does not automatically rewrite permissions, while the seat can still determine whether the user can access a feature. In HighLevel, account assignments, roles and granular permissions define access; Only Assigned Data restricts supported record visibility within a subaccount.

A comparison that makes permissions concrete

For a five-person team, define one administrator, three sellers and one person who reviews results. List the records and actions each needs. If clients also log in, add a client role with its own visibility requirements. Ask each vendor to map those roles to its proposed seats or access settings.

Inspect whether a seller can see an unassigned deal and whether the reviewer can export data. Record the observed result rather than assuming a role label answers the question. This is our proposed acceptance check.

For an agency, also separate employee access to multiple client accounts from a client’s access to its own workspace. HighLevel documents an Account user type for selected subaccounts, while HubSpot documents partner administration of client access. Neither removes the need to define responsibilities.

How should you compare HubSpot and HighLevel costs?

Compare two bills for the same outcome and time period. Keep the product rate, commitment, contacts, channel usage and one-time costs explicit. Do not compare one platform’s entry subscription with the other’s complete marketing configuration.

Use a dated quote when public prices have different conditions

HubSpot’s Sales Hub pricing page and product catalog can show different amounts or offers. Treat a promotional rate, an annual arrangement and a standard catalog rate as different assumptions. For both products, write down the currency and commitment shown by the quote rather than combining the most attractive number from each page.

Official sources: HubSpot Sales Hub pricing · HubSpot product catalog: editions, seats and onboarding.

The comparison budget should be written as: recurring subscription + required usage and options + first-year mandatory fees. Add your own implementation effort separately. This formula is our planning recommendation, not a vendor quote.

Three scenarios that can produce different winners

These are illustrative decision cases. They compare the work and purchasing model without claiming that the configurations are equivalent in every feature.

Scenario 1: five sellers need a timed email sequence

Keep the scope narrow: one company, five active sellers, a sales email sequence and a defined report. Exclude marketing campaigns and AI agents unless they are actually required.

At the catalog reference rate of US$100 per Sales Hub Professional seat per month, five seats represent US$6,000 over twelve months. Adding the catalog’s US$1,500 required onboarding gives an illustrative first-year amount of US$7,500. This uses the listed catalog rate, not a claim about the lowest available annual offer, final tax or negotiated quote.

Official sources: HubSpot product catalog: editions, seats and onboarding · HubSpot sequence requirements and unenrollment · HubSpot Sales Hub pricing.

HighLevel Starter’s base price is US$97 per month, or US$970 for annual billing. Its subscription cannot be called the final cost of this scenario: add the email service and any paid actions actually used, then verify that the required report and access rules are satisfied. We would not declare a winner merely by placing that base price beside the HubSpot illustration.

Official sources: HighLevel plans, account limits and optional AI · HighLevel wallet, usage charges and rebilling.

Decision trigger: determine whether the team’s required reporting, permissions and email journey justify the qualifying configuration. Do not add HubSpot Marketing Hub simply to inflate the sales-only comparison.

Scenario 2: an agency implements a CRM its clients own

Specify who holds each subscription and what work agency employees perform. If clients already have HubSpot, eligible partner access may be the relevant operating model. HubSpot’s Enterprise multi-account organization becomes a separate question only if its connected-account capabilities are needed.

For HighLevel, define whether clients are moving into agency-provided subaccounts and what happens to billing and access when the engagement ends. Comparing a client-owned deployment with an agency-provided workspace requires acknowledging that ownership difference.

Official sources: HubSpot partner access to client accounts · HubSpot multi-account management requirements · HighLevel agency roles and sub-account access.

Decision trigger: choose the account relationship the agency intends to deliver, then price that relationship. A cheaper agency invoice is not a complete comparison if clients pay a separate bill elsewhere.

Scenario 3: an agency provides ten client workspaces

HighLevel Starter’s three-subaccount allowance does not cover ten workspaces. Unlimited lists unlimited subaccounts at US$297 per month or US$2,970 per year. If the offer requires SaaS Mode and marked-up rebilling, examine Agency Pro instead, at US$497 per month or US$4,970 per year. Usage and selected options remain additional budget items.

For HubSpot, establish whether clients hold separate accounts with agency access, or whether the business requires the formal multi-account organization. The latter has Enterprise and connected-account requirements; it is not a general price tag for serving ten clients. Obtain a configuration matching the intended data and account model.

Official sources: HubSpot partner access to client accounts · HubSpot multi-account management requirements.

Decision trigger: distinguish delivering consulting across client systems from supplying software access as part of the agency’s service. Those businesses can prefer different purchasing models even when their client counts match.

What should make you choose HubSpot, HighLevel or neither?

Our HubSpot-first recommendation: you are selecting a system for your own company, can name the sales and marketing data relationships you need, and find that the qualifying reporting and access configuration supports them. Price that configuration before treating it as the preferred choice.

Our HighLevel-first recommendation: your service offer depends on providing client workspaces and combined communication or booking workflows, and the account model fits how you intend to deliver and bill the service. Include usage, permissions and ongoing administration in the evaluation.

Reconsider both: neither can demonstrate a required output in an acceptable configuration, the team cannot own the setup, or the actual need is much smaller than the proposed system. Return to the broader CRM shortlist if necessary.

Ask each vendor to show the same customer journey, the same access roles and the same reporting output in the exact edition quoted. Record the unresolved assumptions. This is a proposed decision exercise; we have not measured setup speed, deliverability or user adoption.

Method and related guides

This comparison uses official product, pricing and help documentation checked October 18, 2026. Recommendations and scenarios are our editorial analysis. Cost arithmetic follows the assumptions stated beside each example. No authenticated benchmark, migration test, deliverability measurement or customer productivity study was performed.

We distinguish partner access, linked business accounts and client subaccounts because they describe different operating relationships. Feature presence alone does not establish equal behavior or equal cost. Confirm the exact quoted configuration where public offers, regions or legacy terms differ.
